As a Guest Services Receptionist at Latham, you will contribute your expertise to perform all functions related to receiving clients, calls, vendors, deliveries, pages, etc., directs them to the appropriate individual and operates within the established procedures of the Firm. He or she is responsible for typical duties of an operator or receptionist, in addition to guest services reporting. The Guest Services Receptionist demonstrates a high level of responsiveness and professionalism while accomplishing these and other critical functions:
Directs telephone calls to appropriate attorneys and staff and/or records messages for correct recipients. Pages attorneys, staff, and visitors and relays messages when page is answered.
Operates Cisco Phone System and/or Cisco Web Attendant to relay incoming, outgoing, and intra-system calls.
Meets and greets clients and visitors, determines the nature of their business, and provides appropriate information. Registers visitor names in the building security system. Logs and distributes temporary office key cards.
Coordinates with outside vendors, clients, building management, and/or security for after hours guest services.
Refers guests to appropriate individuals in the office or contacts that person by telephone and arranges an appointment.
Utilizes Meeting Room Manager (MRM) to schedule conference rooms and visitor offices; may also run multiple reports in MRM including catering and technology requests for conference rooms and visitors.
Assists Guest Services Staff with their conference and reception area duties. Responsibilities may include, but are not limited to scheduling conference rooms, setting up conference room equipment, and providing necessary amenities and services as needed- such as ordering and putting away meals.
Communicates the needs of conference and visitor office occupants to appropriate departments as needed.
Performs general administrative duties as needed.
Assists with special projects on various issues as needed.
As a Guest Services Receptionist, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful Guest Services Receptionist candidate must have excellent verbal communication skills; speaks English and the local language clearly, on phone and in person, well developed and professional interpersonal skills; ability to interact effectively with people at all organizational levels of the Firm, excellent communication skills, both written and verbal, ability to work in a team environment with a customer service focus, organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines, willingness to complete all tasks and learn new skills, thorough knowledge of PC applications, including MS Office, ability to handle confidential and sensitive information with the appropriate discretion.
