It operates a number of channels across partners, retailers, branches and online channels direct to consumers and has an independent board and its own regulations and governance frameworks. This role will provide management support to the MD Insurance, Hallmark Board Members and administrative support to the Insurance Finance team.Essential Responsibilities: Management Assistance

    - Provide day-to-day coordination of MD's diary and schedule

    - Co-ordinate and organise operating rhythms and meetings for the Insurance Business (including day to day operations, HR rhythms, regular internal and external meetings).

    - Co-ordination of external relationships and managing of issues for board members

    - Organise logistics of meetings, including catering, technology and agenda as required

    - Preparation of expense reports for MD and Board Members in a timely manner

    - Produce PowerPoint presentations & communications as required.

    - Raise and manage IT and other service requests as required for existing employees and for new starters.

    - Raise purchase requisitions to manage expenditure for the Executive cost centre and control spend against budget

    - Co-ordinate and arrange domestic travel and international travel for MD and Board Directors

    - Support monitoring of T&L expenses across team

    Office Management

    - Point of contact for Insurance office management needs across North Sydney and Parramatta sites

    - Co-ordinate and organise the annual diary and meeting schedule (Planning sessions, SMT meetings, EMS Reviews, Round Tables, etc).

    - Co-ordinate operating rhythms for insurance SMT

    Finance Administration Support

    - Coordination of Monthly Business Review presentation, ensuring inputs received on time and consistent formatting applied, ensure timelines communicated to SMT

    - Assistance with other PowerPoint presentations as required

    - Assistance with Board papers and ensuring deadlines met

    - Coordinate and organise logistics for Finance team meetings, KPMG audits and training sessions

    Risk management and Compliance.

    - Support MD in ensuring compliance with all risk management policies including in respect to Change Management; Tactical & Strategic Planning; Process Performance & Review

    - Support the MD to execute on the team's EH&S responsibilities, including ensuring appropriate first aid officers, wardens.Qualifications/Requirements: Qualifications

    - Degree qualified (preferred)

    Experience

    - Minimum 3 years relevant work experience.

    Skills

    - Excellent skills in all MS office packages including; Outlook, Word, PowerPoint and Excel skills.

    - Excellent written and oral communication skills.

    - Strong attention to detail.

    - Ability to prioritise workload, adhere to deadlines and work unsupervised.

    - Excellent organisational and strong planning skills.

    - Strong interpersonal skills with a proven ability to work with diverse groups at all levels within the organisation.
